    We are searching for candidates that meet the required qualifications and experience and are able to perform the essential duties and responsibilities.


    Job Summary:

    Support the Collin College Foundation Office by coordinating procedures and data related to gift donations and ensuring accuracy of  records.   Primary resource for entering transactions into the college’s fundraising database ensuring data integrity and providing necessary follow up, and reporting.


    Required Qualifications:

    Essential Duties and Responsibilities

    • Serve as one of the gift data coordinators. Manage gift analysis and gift entry procedure, process daily gift batches in a timely and accurate fashion.
    • Retrieve mail and deposit checks and cash gifts into the Foundation bank according to processing guidelines.
    • Coordinate and processes data analysis and entry projects; operate and maintains a computer and database system; enter donations into the computer, maintain database integrity and gift lists; adhere to system operations.
    • Analyze gifts to determine appropriate campaigns, funds, and appeals for each gift to be processed.
    • Produce gift receipts and individualized acknowledgement letters for all gifts received in a timely and accurate fashion. Assist in balancing gift accounts with the Business Office.
    • Assist in fund raising projects through verifying, preparing and processing corporate matching gifts for submission to the matching agency; process and enter matching gifts into the database when they are received.
    • Produce various reports pertaining to the gift entry process, including departmental "Batch," "Gift Validation," and "Posting Control" reports; submit and distribute various report requests to Foundation and/or appropriate college staff.
    • Assist the Business Office accounting team in preparing reports and documentation for the annual audit.
    • Add new constituent records to the database as needed, analyze information and populate all appropriate data fields where information is available.
    • Organize, coordinate and maintain the integrity of digital filing system.
    • Assist with events and other fundraising projects when appropriate.
    • Assist with budget process for the Department. Monitor and maintain control of expenditures, maintain accurate accounting records.
    • Support meetings of the Board of Directors by coordinating hospitality, meeting invitations, board packet materials, minute-taking, attendance tracking, and other tasks as needed.
    • Process purchase requisitions, payment vouchers, travel requests and reimbursements. Keep complex clerical records and prepare reports from a variety of data. Responsible for department purchases. Provide clerical support.

    Knowledge, Skills and Abilities

    • Proficiency using computers and office software packages
    • Experience with relational database systems and/or gift entry
    • Excellent oral and written communication skills
    • Interpersonal skills using tact, patience and courtesy
    • Organizational skills and detail-oriented nature
    • Must be self-starter and self-motivated
    • Ability to analyze data for appropriate posting
    • Ability to establish and maintain cooperative and effective working relationships with internal and external constituents, including donors and high-ranking officials

     
    Physical Demands, Working Conditions and Physical Effort


    Sedentary Work - Exerting up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or constantly having to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met. Positions in this class typically require talking, hearing, seeing, grasping, standing, walking and repetitive motions. Relatively free from unpleasant environmental conditions or hazards. Office environment. Little physical effort required.

    Requirements
    Associate degree from an accredited institution and three (3) years of related experience required.


    Preferred

    Bachelor's degree. Experience with The Raiser’s Edge, background in accounting or bookkeeping, and/or previous nonprofit experience.
