Coordinator - Accounts Payable

We are searching for candidates that meet the required qualifications and experience and are able to perform the essential duties and responsibilities.




Job Summary:

Provide excellent customer service to vendors, staff and faculty through timely and accurate accounts payable and expense report processing. Manage large volumes of work in a fast-paced environment. Process vendor payments, review and approve expense reports, perform reconciliations and related research.



Required Qualifications:

Essential Duties and Responsibilities

  • Utilize Workday to enter all invoices, and supplier invoice requests in a timely and accurate manner. Research and resolve invoice issues with vendor or procurement.
  • Review accounts payable associates' invoices for completeness prior to settlement run.
  • Provide training to staff and faculty on accounts payable processes in Workday.
  • Update and revise as necessary training documents for accounts payable website.
  • Assist supervisor with the review and entering of information into the utilities spreadsheet to ensure accurate entering of utility invoices for payment.
  • Reconcile weekly reports to ensure payments are made timely.
  • In the absence of the supervisor of travel and expense, will review college credit card applications for completeness; establish new accounts; issue cards; and activate/deactivate cards as needed.
  • Serve as initial point of contact for internal and external inquires, assist credit cardholders with questions and issues arising from use of the card.
  • Assist employees with completion of spend authorizations and/or expense reports as needed.
  • Provide data and reports to supervisor to assist with month-end and year-end close. Elevate critical issues to supervisor.

  • Perform other duties as assigned.

Knowledge, Skills and Abilities

  • Knowledge of accounting, travel, credit cards and accounts payable
  • Knowledge of Workday preferred but not required
  • Working knowledge of Microsoft Office
  • Time management skills
  • Ability to resolve issues with research

 
Physical Demands, Working Conditions and Physical Effort
Sedentary Work - Exerting up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or constantly having to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met. Positions in this class typically require talking, hearing, seeing, grasping, standing, walking and repetitive motions. Relatively free from unpleasant environmental conditions or hazards. Office environment. Little physical effort required.

Requirements

Associate degree from an accredited institution.

Two (2) years of accounts payable experience required. 


Preferred

Experience in higher education.


Equivalency Language

Associate degree and two (2) years of related work experience OR high school diploma/GED and four (4) years of related work experience.
